Tour booking terms
A booking is confirmed only after availability, the exact transport arrangement and payment are confirmed. Standard online tours include free cancellation until 24 hours before departure. Destination views, blooms, wildlife and weather cannot be guaranteed.
1. Who these terms cover
These terms apply to tour and trip-planning services offered through Yamaguchi Motors Private Day Tours by Yamaguchi Motors 合同会社, 529-2 Iwasegawacho, Ota City, Gunma 373-0841, Japan ("we", "us" or "our"). 2. Enquiries, quotes and booking confirmation
A custom-route request is an enquiry, not a reservation. For a tailored trip we confirm the workable itinerary, date, total group price, inclusions, exclusions, capacity, pickup plan and exact transport arrangement in writing before asking for payment. A standard online booking is confirmed when Stripe reports successful payment and we issue a booking reference.
If a website error creates an impossible route, unavailable date or clearly incorrect price, we will contact you promptly. No replacement arrangement is binding until you accept it; otherwise we will return any affected payment.
3. Passenger transport and guides
Paid passenger transport must be provided under the authority required by Japanese law. For request-first routes, the exact commercially authorised operator and vehicle must be confirmed before acceptance. A displayed or illustrative vehicle image is not a promise of a specific make or model. Guide, driver and transport roles will be stated in the final confirmation.
4. Prices and payment
Unless stated otherwise, a displayed tour price is in Japanese yen and covers one private group up to the capacity shown. Each product page or written quote states what is included. Admissions, meals, accommodation, personal purchases and optional activities are excluded unless expressly listed. Card payment is processed securely by Stripe; we do not receive your full card number.
5. Cancellation and refunds
- For standard online day tours, cancellation received at least 24 hours before the confirmed departure time receives a full refund.
- Cancellation within 24 hours, late arrival that prevents the tour, and no-show are normally non-refundable, except where required by law or where we agree otherwise in writing.
- A custom or multi-day proposal may have different supplier deadlines. Any different rule will be shown clearly before payment and will control for that booking.
- Approved card refunds are returned to the original payment method. Stripe and the issuing bank control the time taken for funds to appear.
If we cancel and cannot provide a reasonable accepted alternative, we refund the amount paid for the cancelled service.
6. Weather, traffic and natural conditions
Safety and a realistic return time come first. Traffic, closures, snow, volcanic restrictions, ship or flight timing, crowd levels and weather may require a changed stop order, a substitute stop or a shorter visit. Mount Fuji visibility, cherry blossoms, autumn colour, flowers, snow and wildlife are natural conditions and are never guaranteed.
7. Traveller responsibilities
The lead traveller must provide accurate group, contact, pickup, luggage, mobility and child-seat information and share the confirmation with the group. Guests must follow reasonable safety instructions and arrive at the agreed time. Parents or guardians remain responsible for children. Tell us before booking about accessibility, medical, dietary, religious or other needs that may affect the route; we will explain what can and cannot reasonably be arranged.
8. Third-party venues and activities
Temples, parks, restaurants, cruises, ropeways, bathing facilities and other third parties control their own opening hours, admissions, rules and service. When we collect a third-party charge, the written inclusion will say so. A description such as halal, allergy-aware or accessible is used only when we have a reasonable current basis, but guests should confirm critical needs directly where appropriate.
9. Delays, overtime and route changes requested by guests
We try to accommodate reasonable same-day changes, but driving hours, reservations, traffic and return commitments may make them impossible. Material overtime or an added destination is provided only if agreed, legally workable and any extra price is accepted before it is incurred.
10. Liability and mandatory rights
Nothing in these terms excludes liability or consumer rights that cannot legally be excluded. Subject to those rights, we are not responsible for loss caused by information withheld by the guest, independent third parties, or events outside reasonable control. Guests are responsible for passports, visas, insurance and personal belongings. Travel insurance covering cancellation, health and personal property is strongly recommended.
11. Privacy, changes and governing law
Personal information is handled as explained in our Tours Privacy Notice. The terms shown and accepted at checkout apply to that booking. Japanese law governs these terms, subject to any mandatory law that applies to the traveller.
