What we collect online
Name, e-mail, phone, country of residence, preferred language, trip dates and route, class and options, and for each driver the licence route, issuing country and relevant dates. We do not ask you to upload licence or passport images; originals are inspected at pickup and only the minimum verification record (document type, issuing country, reference, inspector, time) is kept.
Why
To assess driving eligibility and availability, prepare quotations, process payment through Stripe (card data never reaches our servers), keep the legally required rental ledger, handle incidents and insurance claims, and contact you about your rental.
Who can access it
Authorised Yamaguchi Motors rental staff; our insurer and roadside provider when a claim or assistance requires it; authorities where the law requires.
Retention
Rental ledger records: two years after the rental ends (legal requirement, 2 years configured). Requests that never become a rental: 12 months. Deleted or anonymised after the period.
